How to work with 'company' vs 'individual' contacts and how to choose the right type: 'Contact', 'Ship address' , 'Shipping address', 'Other address', 'private address'.

  1. Companies are independent and can have many 'Contacts & addresses'.
    Label them as 'Company' just above their name in the contact form:

  2. Individuals can be linked to a company, and will inherit some properties from the companies depending on the situation.
    Label them properly as 'Individual' and select a 'type': 'Contact', 'Invoice', 'Shipping', 'Other', 'Private'

    1. A 'Contact' inherits its address from the mother 'Company'
    2. A 'Invoice address' will automatically be used on a Sales Order when selecting the company or a contact of the company.
    3. A 'Shipping address' will automatically be used on a Sales Order when selecting the company or a contact of the company.
    4. A 'Other address' can be different from the mother 'Company'. It can be used for a 'branch' or different 'location' of the company. Subsidiaries should however be a new 'Company' as they have a different VAT-number.
    5. A 'Private address' is used to keep addresses confidential for HR or its creator/salesperson.
  3. A few more guidelines:
    1. Remember that a VAT-number or sometimes called TIN (taxpayer identification number) helps avoid confusion and facilitates invoicing afterwards.
